Dutch Cargo Bike Australia respects your privacy and is committed to handling personal information transparently, securely and in accordance with applicable Australian privacy laws. This policy explains what we collect, why we collect it, how we use and disclose it, and the choices available to you.
1. Scope and applicable law
Dutch Cargo Bike Australia has adopted the Australian Privacy Principles (APPs) contained in the Privacy Act 1988 (Cth) where they apply to our activities. The APPs regulate the collection, use, disclosure, quality, security, access and correction of personal information.
This policy applies to personal information handled through our website, showroom, telephone and email enquiries, quotations, sales, deliveries, Service Partner network, servicing, warranty support, marketing and other business activities.

2. What is personal information?
Personal information is information or an opinion about an identified individual, or an individual who is reasonably identifiable, whether or not the information is true or recorded in material form.
Depending on your dealings with us, the personal information we collect may include:
name, title, date of birth and identity details where necessary;
postal, delivery and billing addresses;
email address, telephone number and communication preferences;
enquiries, quotations, orders, invoices, payment status and transaction history;
bike model, configuration, frame or serial number, accessories and warranty details;
delivery, handover, service, repair and warranty records;
information about rider needs, intended use or accessibility requirements that you choose to provide;
website account details, support correspondence, reviews and survey responses;
IP address, device, browser, cookie and website interaction data; and
any other information you provide or that is reasonably necessary to deal with you.
3. How we collect personal information
We generally collect personal information directly from you when you make an enquiry, request a quotation or test ride, place an order, create an account, subscribe to communications, contact us, attend an event, arrange delivery, use a Service Partner, request servicing or make a warranty claim.
We may also collect information from authorised representatives, family members acting with your permission, finance or payment providers, manufacturers and distributors, carriers, Service Partners, publicly available sources, referral partners and other third parties where lawful and reasonably necessary.
If you provide personal information about another person, you should have authority to do so and, where appropriate, make them aware of this policy.
4. Why we collect, use and disclose personal information
We collect, use and disclose personal information where reasonably necessary for our business functions and activities, including to:
respond to enquiries and provide advice, quotations and test rides;
process orders, payments, finance enquiries, deliveries and collections;
assemble, configure, register and hand over bikes and accessories;
coordinate with Dutch Cargo Service Partners, carriers, suppliers, manufacturers and distributors;
provide servicing, repairs, recalls, safety notices, warranty support and customer care;
operate, secure, analyse and improve our website, systems, products and services;
maintain business, tax, accounting and compliance records;
prevent fraud, manage risk, enforce agreements and resolve disputes;
send marketing where permitted and measure campaign effectiveness; and
comply with legal obligations and respond to lawful requests.
5. Website data, cookies and tracking technologies
When you use our website, we and our technology providers may collect technical information such as IP address, device and browser information, referring pages, pages viewed, interactions, approximate location and cookie identifiers.

Sensitive information includes information about matters such as health, racial or ethnic origin, political opinions, religious beliefs, trade union membership, sexual orientation, criminal record and biometric information.
We do not ordinarily seek sensitive information. We will collect it only where reasonably necessary, with your consent where required, or where otherwise permitted or required by law. For example, limited health or accessibility information may be relevant where you ask us to recommend an adaptive cycle or suitable mobility solution.
8. Disclosure to third parties
We may disclose personal information, where reasonably necessary, to:
Dutch Cargo Service Partners, workshops, mechanics and delivery or handover partners;
manufacturers, distributors, warranty administrators and technical-support providers;
freight, courier, logistics and storage providers;
payment processors, banks, finance providers and fraud-prevention services;
website, ecommerce, customer relationship management, email, analytics, advertising, hosting, cloud and IT providers;
accountants, insurers, professional advisers, debt recovery providers and dispute-resolution bodies;
government agencies, regulators, courts and law-enforcement bodies where required or authorised by law;
a purchaser, adviser or counterparty in connection with a proposed or completed business transaction; and
other parties with your consent or as otherwise permitted by law.
9. Overseas disclosure and cloud services
Some service providers, technology platforms, manufacturers or related support teams may store or process personal information outside Australia. The countries involved may vary depending on the service provider and its infrastructure.
Where an overseas disclosure is made and the Privacy Act applies, we take reasonable steps required by law in relation to the overseas recipient. You may contact us for more information about material overseas disclosures relevant to your information.
10. Payment information
Payments may be processed by banks, card schemes, payment gateways or finance providers. We generally do not retain complete payment-card numbers. Payment providers handle payment information under their own privacy and security terms.
We may retain transaction references, payment status and records required for accounting, fraud prevention, refunds and dispute management.
11. Security of personal information
We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. Measures may include access controls, authentication, staff procedures, secure systems, backups, vendor controls and physical security.
No internet transmission or storage system is completely secure. You should protect account credentials and notify us promptly if you suspect unauthorised use of your account or communications.
12. Data breaches
If we become aware of a suspected data breach, we will take reasonable steps to contain and assess it. Where the Notifiable Data Breaches scheme applies and a breach is likely to result in serious harm, we will notify affected individuals and the OAIC as required by law.
13. Retention and disposal
We retain personal information only for as long as reasonably necessary for the purposes described in this policy, to maintain business and service records, and to meet legal, tax, accounting, warranty, safety and dispute-resolution obligations.
When personal information is no longer required, we take reasonable steps to destroy it or de-identify it, subject to legal and operational retention requirements.
14. Access to and correction of personal information
You may request access to personal information we hold about you and ask us to correct information that is inaccurate, out of date, incomplete, irrelevant or misleading.
We may need to verify your identity before actioning a request. We will respond within a reasonable period and will explain any lawful reason for refusing access or correction.
We do not charge for making a request. Where permitted by law, we may charge a reasonable administrative cost for providing access and will advise you before incurring that cost.
15. Anonymity and pseudonyms
Where practicable, you may deal with us anonymously or using a pseudonym. In many circumstances, however, we need accurate identifying and contact information to provide quotations, accept payment, arrange test rides, deliver products, register warranties, provide service or meet legal obligations.
16. Third-party websites and services
Our website and communications may contain links to websites, apps or services operated by third parties. We are not responsible for their privacy practices. You should review the privacy policies of those third parties before providing personal information.
